If you’re feeling stretched thin, juggling too many tasks, or struggling to focus on growth, bringing a VA on board might be just the solution.

In this blog, we’ll answer the top 10 questions about outsourcing Virtual Assistants, giving you the clarity and confidence to make an informed decision.

From understanding what Virtual Assistants can do to figuring out costs and training requirements, you’ll find everything you need to know.

Hi, I’m Dee, the founder of CQ Mills Consulting. With over 7 years of hands-on experience in recruiting and managing talented Virtual Assistants from the Philippines, I know what it takes to build effective remote teams.

My approach goes beyond just filling roles—it’s about aligning your business needs with skilled professionals who add real value. I’m committed to ethical outsourcing and empowering Virtual Assistant to help businesses like yours succeed.

I’ve helped many small businesses like yours grow to sizes the owners didn’t even anticipate, delighting them as they scaled from bringing on just one Virtual Assistant to as many as ten.

There’s a lot to cover so let’s dive in and discover how the right Virtual Assistant can transform your business.

1. What Is a Virtual Assistant?

As someone who has spent years working closely with businesses and Virtual Assistants (VAs), I often get asked what exactly a VA is. A common misconception is that a Virtual Assistant is the same as AI or an automated system, but that couldn’t be further from the truth.

While technology can handle some tasks, a VA is a real person with diverse expertise, bringing a human touch to every project. Whether they’re fresh out of university or have over a decade of experience with postgraduate degrees, VAs offer tailored, thoughtful support to help businesses thrive.

Depending on what your business needs, a VA can step in and assist with tasks such as,

  • Managing emails and calendars.
  • Creating polished presentations, reports, and spreadsheets.
  • Handling customer inquiries and nurturing client relationships.
  • Maintaining and updating your website.
  • Conducting research, market analysis, and even crafting content.
  • Running your social media accounts and engaging with your audience.

And that’s just scratching the surface. The versatility of VAs is one of their greatest strengths, allowing you to focus on what you do best while they handle the rest.

2. Is there a language barrier when working with Filipino Virtual Assistants?

I understand why this might be a concern, but rest assured, it’s not something you need to worry about when working with us. I take great care in selecting Virtual Assistants who are fluent in English.

Our recruitment process ensures seamless communication, so you’ll experience no language barrier. Whether managing communications, handling customer inquiries, or creating reports, our VAs deliver clear, professional communication and top-quality performance, giving you confidence in their abilities from day one.

3. Do I Need to Provide Training for My Virtual Assistants?

While our Virtual Assistants come with at least 12 months of office experience and a graduate degree, every business has its unique processes. I can offer you five levels of Virtual Assistant experience to ensure a tailored fit for your business. You’ll play a key role in onboarding, ensuring your Virtual Assistant aligns with your specific needs.

4. Do you offer guarantees or trial periods?

Onboarding a VA with CQ Mills is very similar to onboarding a new employee. Everyone gets a probation period.

While we don’t offer guarantees, we provide a flexible trial period with a twist! In the Philippines, our Virtual Assistants begin with a 6-month probation period—like a “getting to know you” phase. During this time, we check in at 3 and 5 months to make sure everything’s running smoothly. If needed, you can part ways with just a 1-week notice.

After the 6 months, it transitions to a 30-day notice period. We’re here to support you every step of the way, ensuring a smooth and rewarding journey with your Virtual Assistant.

5. Which roles within your business are perfect for outsourcing?

Certain roles within your business are ideal for outsourcing to Virtual Assistants, allowing you to save time and focus on growth. From administrative support, customer service, and social media management to bookkeeping, content creation, and marketing coordination, Virtual Assistants can handle a wide range of tasks. These roles are highly adaptable and perfect for remote work. 6. What is ethical outsourcing?

Ethical outsourcing goes beyond business efficiency—it’s about creating opportunities that have a meaningful impact. Before outsourcing gained momentum, many Filipinos had to leave their families, friends, and communities behind to work overseas. Often, they were limited to fields like nursing, caregiving, or domestic work—roles that didn’t always align with their passions.

This also meant leaving young children to be raised largely without them, often by grandparents. My mission is to change that.

By choosing ethical outsourcing, you’re supporting fair pay and providing local professionals the chance to thrive in their chosen fields, all while staying close to home.

7. What Tasks Can a Virtual Assistant Handle?

The tasks a Virtual Assistant can manage depend on the role you’re hiring for and the level of experience you need. As mentioned, all our Virtual Assistants have at least 12 months of office experience and a graduate degree, with up to five levels of expertise to suit your business.

During our initial discovery, you can share the specific tasks and roles you’re looking to cover, as well as your budget. Most common job descriptions can be filled by a VA with the right experience.

You can even request Virtual Assistants with expertise in specific software, such as Xero for accounting, Salesforce for CRM, or Angular C# and .NET for Full Stack Developers. I’ll then source a Virtual Assistant who’s the perfect fit, ensuring they can handle your requirements effectively and help your business thrive.

8. How Do I Ensure My Virtual Assistant Is Productive?

I’ve seen firsthand how eager Filipino Virtual Assistants are to work for Australian companies. The opportunity is often viewed as a privilege, and the cultural attitude is one of gratitude and determination to do a good job.

Your VA will be excited to grow with your business, and if you invest time and effort into their training and onboarding, especially in the early stages, you’ll see that eagerness turn into a strong commitment to meeting your goals.

But productivity isn’t just about attitude—it’s also influenced by the culture and work environment.

That’s where partnering with CQ Mills offers a strategic advantage. I understand that small business owners don’t have time to handle things like celebrating birthdays, work anniversaries, or setting up a physical office environment.

I will take care of these details for you.

Our VAs work in a modern office setting where they can collaborate, share ideas, and stay motivated.

There are many ways to ensure your VA remains productive, including tracking their work, measuring performance and setting clear KPIs. I can help guide you through these aspects and more, making sure your VA is set up for success and continuously delivering value to your business.

9. What Is the Cost of Hiring a Virtual Assistant?

The cost of hiring a Virtual Assistant varies based on the level of experience you need. I can offer full-time VAs, ensuring a dedicated resource for your business. The best approach is to share your budget, tasks, and role requirements with me. If your budget or workload isn’t quite there yet for a full-time VA, I can work with you to create a game plan to get you there. My passion is helping business owners thrive, and I’m here to support you every step of the way.

And last but not least

10. Who looks after the HR, payroll and manages the leave entitlements?

This is a great question and one that’s often overlooked.

Many business owners underestimate the time it takes to handle these tasks. I manage all HR responsibilities, including hiring, terminations, maintaining employee records, payroll, and leave entitlements.

I also take care of policy and procedure documentation, and while I encourage you to conduct performance reviews periodically, I handle most of the workload for you, ensuring these tasks are managed efficiently.

To keep things simple, I’ll send a fixed monthly invoice that covers all services, which is included in the agreed-upon cost for your VA. This price is set at the beginning of our relationship, ensuring you always know what to expect without any surprises.

You can focus on growing your business while I handle the administrative details behind the scenes.

Wrapping up, outsourcing a Virtual Assistant can be the difference between a thriving business and a surviving business.

I’m here to guide you every step of the way, from finding the right fit to managing the details, so you can focus on what truly matters—growing your business. Whether you’re ready to bring a Virtual Assistant on board now or want to plan for the future, I’m here to help you get where you want to go.
